Overview

As the first brand to build a custom integration on The Iconic marketplace, I identified the operational challenges that emerged as order volume and channel complexity increased and designed a solution to address them. Manual processing across orders, inventory, fulfilment and tracking was becoming increasingly difficult to scale efficiently. The integration I built with developer Brad Younger was subsequently commercialised and adopted by other brands onboarding to the marketplace.

I led the operational design and rollout of one of the early custom integrations connecting The Iconic marketplace workflows with our ecommerce and operational systems. Working closely alongside a dedicated developer over several months, I drove the business requirements, workflow logic, testing and operational refinement needed to create a scalable solution that significantly reduced manual processing, improved inventory visibility and streamlined fulfilment operations as the business grew.

The workflow later evolved into a broader integration solution used by additional brands onboarding to The Iconic marketplace ecosystem, helping establish a more scalable operational approach for marketplace retail management.

The Challenge

As Deshabille scaled across The Iconic and additional marketplaces, the existing system architecture was not designed for multi-channel growth. Orders, inventory updates and fulfilment data required manual intervention between marketplace, ERP and warehouse systems, increasing the risk of stock discrepancies, delayed dispatch and financial misalignment.

Replatforming from Odoo to Magento 2 and later Shopify introduced further integration complexity, requiring the architecture to evolve without disrupting day-to-day operations. Returns processing remained manual, creating reconciliation effort between ecommerce platforms and Xero.

Without automation and system alignment, continued growth would have compounded operational inefficiencies, inventory risk and financial reporting exposure.

My Role

Founder and systems delivery lead, responsible for the full integration lifecycle from opportunity identification and requirements definition through to solution design, development coordination, testing and post go-live optimisation.

  • Mapped end-to-end order, inventory and fulfilment workflows across marketplace, ERP and 3PL systems
  • Defined integration requirements and API specifications
  • Directly engaged and managed external integration developer for middleware build
  • Coordinated technical alignment with The Iconic and 3PL warehouse partners
  • Led UAT, defect resolution and phased go-live
  • Drove post go-live iterations, including platform replatforming from Odoo to Magento 2 and subsequently Shopify
  • Designed and implemented automated returns processing, synchronising Shopify returns with Xero financial records

Solution Delivered

Designed and delivered a scalable middleware integration architecture connecting The Iconic marketplace API, ERP platforms and third-party logistics systems. The solution evolved across multiple ecommerce platforms including Odoo, Magento 2 and Shopify, maintaining operational continuity during replatforming.

Key components included:

  • Automated order ingestion from The Iconic into the ERP with structured field mapping, validation controls and exception handling
  • Real-time inventory synchronisation across ecommerce and marketplace channels to prevent overselling and stock discrepancies
  • Automated fulfilment and tracking updates from the 3PL warehouse back to The Iconic marketplace
  • Returns processing automation with stock adjustments and financial reconciliation synchronised to Xero
  • Centralised error queuing, retry logic and alerting framework to ensure transactional reliability

Commercial / Operational Outcome

The integration enabled significant operating leverage during a period of rapid marketplace growth:

  • Supported approximately 3x marketplace revenue growth without increasing internal operations headcount
  • Eliminated manual order entry, reducing processing time from hours to minutes
  • Improved inventory accuracy and reduced oversell incidents to negligible levels
  • Automated 3PL fulfilment feedback, removing the need for manual tracking updates
  • Strengthened financial reconciliation through consistent, automated cross-system data flows
  • Protected marketplace revenue by maintaining The Iconic performance and fulfilment SLAs during peak demand
