Overview

As a multi-entity ecommerce brand operating across Australia and key Asian markets including Hong Kong, Malaysia, Taiwan, the Philippines and Singapore, the business had outgrown its finance and inventory stack. Marketplace growth, particularly through The Iconic, increased transaction volumes and exposed performance and reporting limitations within Xero and Unleashed.

Operating through both Australian and Hong Kong entities required duplicate subscriptions, manual cross-entity reconciliation and fragmented inventory visibility.

This project consolidated finance, inventory, purchasing and ecommerce into Odoo, establishing a unified, scalable operating platform to support continued regional expansion.

The Challenge

  • Duplicate Xero and Unleashed subscriptions across two entities, increasing cost and complexity
  • No single source of truth for inventory across ecommerce channels and 3PL operations
  • Manual credit-note creation for marketplace returns, particularly The Iconic
  • Platform-specific pricing and discount logic managed across disconnected systems
  • Manual cross-entity financial consolidation and reporting

As transaction volume increased, these constraints limited automation, visibility and scalability.

My Role

Founder and systems delivery lead. Owned the ERP consolidation and platform transition from architecture decision through to go-live and optimisation.

  • Selected Odoo to centralise multi-entity operations and reduce integration overhead
  • Defined requirements across inventory, accounting, purchasing and reporting
  • Designed and executed full data migration into a unified structure
  • Configured pricing logic, discount automation and marketplace return workflows
  • Implemented automated credit-note processing for marketplace returns
  • Established Odoo as the single source of truth for inventory and 3PL reconciliation
  • Migrated the ecommerce storefront to Odoo's native website platform to reduce external integrations
  • Partnered with a Python developer for custom extensions and workflow optimisation

  • Achieved consolidation with an upfront investment comparable to approximately one year of prior subscription costs, materially improving long-term operating leverage
  • Centralised 100 percent of order and financial processing into one system
  • Established real-time cross-entity inventory visibility and improved 3PL reconciliation
  • Automated marketplace return processing, removing manual credit-note workload
  • Created a scalable operational foundation to support continued growth across Australia and Asia
